Role summary:
The Registrar is the custodian of all University documents. He/She is responsible for ensuring all relevant statutory compliances and driving the administrative machinery of the University in accordance with the policies and guidelines laid down by the statutory bodies of the University. He/She represents the University in all external communications/liaison.
Key Responsibilities:
Educational ExcellenceEnsure smooth and robust registration and admission processes within the specified timelines and also keep safe custody of all student documents including legal documents/clearances of foreign students.Responsible for assisting the Chancellor in appointing and constituting Committees/Sub - Committees at a University levelIs a member secretary on all the statutory bodies of the University and has to ensure that the university governance policy, processes and procedures are followed in letter and spirit.Responsible for all University level announcements and communications on academic calendar and any other notifications from State Government and UGC; Prepares the Statutes, incorporation of amendments in the Statutes and Regulations as approved by the Board of Management and the Board of Governors Has to convene the scheduled meetings of the statutory meetings of the University and maintain minutes of all meetings in the Office of the Registrar and the Chancellor. Ensure the orientation to student-centeredness as the driving force behind daily operations at the Registrar offices.Make available appropriate documents that may be required for the students namely mark statements, degree certificates, bonafides and such other records. Demonstrate the University's commitment towards high student satisfaction ensuring timeliness and accuracy of the transcripting systems.Responsible for policy implementation and assessment process of awarding grants, scholarships and financial aids to the students of the UniversityAdvise the Controller of Examination with regard to the examination schedule, declaration of results, revaluation protocols, mark revisions and release the appropriate documents as and when called for. Responsible for the overall planning and conduct of convocation, the University’s highest profile ongoing public event.Responsible for planning the resource requirement for the Office of Registrar as well as issue all contracts of employment both academic and non – academic staff along with University terms and conditions, duly approved by the Chancellor.
People ExcellenceHire, train, supervise, and evaluate the professional staff of the Office of the Registrar with the focus towards continuous improvement.Consistently coach and mentor team members enabling high performance and service excellence
Cultural and Internal ProcessesProvide reports for all internal and external constituents including Central and State bodies, Regulatory and compliance requirements. Responsible for the interpretation of the University’s academic regulations and compliance with the statutory norms applicable for students from the reserved communities Be up to date with all the amendments, notifications and guidelines of the UGC or any other regulatory bodies and advise the Vice Chancellor on the same as and when required.
Undertake other duties that may be assigned by the Management from time to time.
