Job Description

Mission:


HR Data Analyst will manage the delivery of all HR Data, Analytics and Visualization requirements by partnering with the HRD, HR Business Partners, Management & Ubisoft Global Teams to support analytics led decision making at the Organization. This position will also support several HR operations responsibilities, also work with HRD & HR Ops Manager for several transversal projects.

HR REPORTING & ANALYTICS


  • Will be responsible for maintenance and development of existing HR Tools in coordination with the HRD & HR operations manager.
  • Prepare the analytical reports (HR Dashboard) for Compensation, Headcount, Attrition, demographic and Diversity Analysis Reports, Staffing, Availability, Overtime, Leave, for management review on monthly basis.
  • Work closely with other Internal and External Teams to understand their reporting requirements and Build reports, Metrics and Dashboards accordingly within timeline following the data confidentiality matrix.
  • Developing meaningful and effective HR functional dashboards (covering Headcount, Attrition, hiring etc.) to support the leadership team to identify business challenges and use data analysis to help influence changes to the operations, process, or programs.
  • Subject matter expert for all key HR reporting systems. This includes identifying reporting and analysis problems and working with the HRD & Respective SPOCs across HR & Global Team to resolve them, understand and reconcile gaps/overlaps/apparent contradictions among and within reports and reporting tools, investigate possible methods of improving data collection and reporting processes for the HR community.
  • Driving Audit and Quality Check for all deliverables.
  • Automating Reports to minimize manual intervention thus reducing human errors and ensuring efficiency gain for in the team.
  • Capacity to establish internal HR SLA (service level agreement) for same processes.
  • Responsible to centralize all HR documents online.
  • Participating in establishing all the HR policies pertaining to Ubisoft India Studios.
  • Responsible for Weekly, Monthly and Periodical reports delivery with 100% accuracy ensuring SLA is compiled always
  • Engaged in quality improvement of all Reports, by making it more analytic driven and ensuring compliance to HR reporting quality standards.
  • Deliver HR Management Information reporting and analysis within SLAs, and respond to ad hoc requests
  • All HR data and analytics are centralized creating one single Dashboard for all data
  • Monitor Key HR metrics , present insightful reports, and dashboards with eye for detail.
  • Build the HR metrics which helps the management to spot the new trends, opportunities, and emerging problems in early stage so management can address the same before it impacts the business significantly.

PAYROLL MANAGEMENT


  • Responsible for checker role on payroll for accurate timely, quality inputs of the payroll data in MS-EXCEL to finance department for the successful delivery of Monthly Payroll.
  • Facilitate Payroll process inclusive of the Time and Attendance administration which includes processing attendance data manually in excel.
  • Prepare/review input of Full & Final Settlement of resigned/terminated employees, OT, Performance bonus, new joiners, Professional Changes, Deductions, and such other components in monthly payroll
  • Responsible for Internal and External quarterly and yearly Audits and ensuring seamless closure of the same.
  • Review interface files and confirm approvals and appropriateness on all source data documents
  • Continuously strive to gain 0 error and minimize complaints on the delivery of Payroll operations Services
  • Optimizing the process flow between various Department, managers, and tools. Recommend solutions to drive process improvements and standardizations across payroll function
  • To ensure manual and computerized records are accurately maintained and updated regularly in line with data protection.

OTHER HR OPERATIONS


  • Own HR Information System. This will include managing module developments as well as day-to-day operations in HRIS.
  • Develop and own People Policies along with its governance. Maintain HR Manuals and procedures and provide guidance and interpretation to Employees.
  • Facilitate Payroll process inclusive of the Time and Attendance administration
  • Manage Statutory Compliances/ HR Audits
  • Work effectively with the relevant stakeholders (HR Process owners & Business representatives).
  • Ensure all Service Level Agreement (SLA) targets are met (Ticketing system and other employee requests etc.)
  • Work with Compensation manager for the yearly compensation booklet.
  • HR Budget Expense Invoices checking, tracking and validations.
  • Act as SPOC for Antibribery Data for studio
  • Creating effective process documentation for each of the processes held.
  • Act as central coordinator for HR Projects (automation, transversal, any new initiatives)




Qualifications

Experience & Qualification


  • Proven work experience of a minimum of 3-5 years in HR Operations
  • Degree/Certification in HR Management (preferably MBA)
  • Proficient in Advanced Excel
  • Should be well versed with Employment Laws, Labor Laws and Compensation Management
